Where Grammar Ghost was stuck
Andrew was running Grammar Ghost's content operation out of a Notion Kanban — fine for one client, a mess for many. As deliverables stacked across multiple months, documents sprawled, Notion got slow, and finding the right creative or doc became its own job. He'd worked with an AI automation specialist before on a point solution — a hook generator — and watched the market sophisticate away from it within months. He didn't want another tool that would expire. He wanted operational infrastructure that would keep working regardless of what the content game looked like next quarter.
What we built
We started with the business process map so Andrew could see his whole operation laid out, then built a content operating system in Airtable — a Henry Ford assembly line for writing. Steven ran the build, pushing updates to the Airtable interface as Andrew's needs shifted and generating docs on specific workflows. The design philosophy was explicit: don't solve one hook-generation problem, solve the operational shape of a content agency. The system is the chassis. Hooks, formats, and copy techniques can change on top of it without the foundation needing to be rebuilt.
What happened next
What surprised Andrew most was the longevity. Unlike his previous point-solution automation, this one doesn't go away when the market shifts — it keeps working. The copy-chiefing load dropped. Designers got what they needed faster. And when he needed to test roughly ten new writers at once, he just gave them access to the dashboard and let them produce inside the system — something that would have been a logistical nightmare in the old Notion setup. Hiring got easier. Review got easier. The assembly line kept running.
