Where Saturn Media was stuck
Ciaran was running Saturn Media — a Google Ads agency — across Google Sheets, Slack, and ClickUp, with onboarding he handled personally for every new client. Contract, Slack setup, invites, handoff, all manual. Google Ads service delivery has ten stages of onboarding with ten things inside each one, so when two clients signed at once, there was visible anxiety about what was actually happening where. Details slipped. Things took too long. And Ciaran was the single point of failure for every new deal that closed.
What we built
We built Saturn Media a centralized operating system — a real single source of truth where every client, every KPI, and every onboarding step lives in one place. Onboarding collapsed into a form: Ciaran fills it out, the system handles the rest. We standardized the onboarding flow so every new client gets the same service from day one, with no dependency on which human happened to close the deal. Weekly Monday meetings now run off shared dashboards, so client health reviews that used to take two hours take ten minutes with clear actionables coming out the other side.
What happened next
The system shipped in August. September was Saturn's biggest onboarding month ever — seven new clients. October, five or six. November and December, five each. January, another five. Roughly 100+ hours of founder time saved on onboarding alone, and the team redirected that energy into delivery. Pretty much every client has seen better results since the switch, because there's less noise around them — new clients drop into a standardized pipeline and start getting outcomes faster.
